Personal Equipment Program policies

Bookings

  • ​Personal Equipment Program sessions are available with a minimum commitment of two sessions per week.

  • Sessions are 60 minutes in length.

    • You are welcome to arrive 10 minutes earlier to your appointment to begin warming up on your mat.​
    • We offer the opportunity to extend your session into the following timeslot, upon request, space permitting.

  • All Equipment Program sessions are reserved in advance as Standing Appointments.

    • Standing Appointments are recurring timeslots, which are automatically renewed each month. See schedule below.

    • If you are unable to commit to Standing Appointments, please ask us about other scheduling options.

  • We reserve the right to offer alternate appointments to accommodate business closures and statutory holidays.

Standing Appointments

We offer Standing Appointments for you to attend our program two to three times a week. These reserved appointments guarantee you a spot in our program, however, you are welcome to reschedule to alternative times when needed. Please see our cancellation policy for details.

Rates & billing schedule

Personal Equipment Program fees are payable in:

  • Monthly installments based on annual billing cycles (average four weeks each)

  • Semi-annual installments - BEST VALUE! (March - August and September - February)

Monthly installment payments will be processed on the Wednesday prior to the beginning of the next billing cycle (or on an alternate date to accommodate business needs). Please see billing dates and periods below:

2025 monthly billing schedule

If you will be away for two or more consecutive sessions in a month, you have the option to:

  • Purchase a monthly installment (our lowest rate) and either reschedule the sessions you will miss or use them as make-ups (within the 3-month expiry period).

  • Purchase single sessions at a higher rate, but only for the sessions you will be attending.

Studio closures

We will be closed during the following periods, and members will not be billed for sessions during these closures:

  • *Summer break: Monday, August 4 - Saturday, August 9 (reopening Monday, August 11). 

  • Winter break: Monday, December 22 - Saturday, January 3 (reopening Monday, January 5).

Cancellation policy

We require 24-hours notice for all cancellations. Full fees will be charged for any appointments or reserved classes that are cancelled or missed, for any reason, with less than 24-hours notice from the appointed start time. This policy is necessary due to scheduling demands and is strictly applied.

 

If a late cancellation is due to the sudden onset of symptoms of an illness that could be transmissible, you will have the option to request a late cancellation waiver for a reduced fee ($10 for equipment sessions, $25 for private sessions). You will then retain the session, to be used prior to the original expiry date. Please request this option when making your cancellation so we can adjust your account. We appreciate your honesty and support in following this policy.

Making up early cancelled sessions

Sessions that have been cancelled with 24 hours notice can be made up with an alternate appointment at a later date, space permitting, within the expiry period (see below). 

We also provide same-day privileges to reschedule your session or to attend a class, space permitting, on the same day only. ​​

Monthly installment make-ups

Any unused sessions purchased in a monthly installment become make-ups at the end of that installment period. All makeups have a 3-month expiry. Make-ups on your account will be available for you to use after you have used all of your current monthly installment sessions (i.e. if you usually pay for eight sessions a month, you can use a make-up for a ninth session).

While you are attending the equipment program, make-ups can be used for:

  • Additional equipment sessions

  • classes (including single classes within a series, space permitting)

  • Discounts on private sessions

Semi-annual installment make-ups

Any unused sessions purchased in a semi-annual installment become make-ups at the end of that installment period. All makeups have a 6-month expiry. Make-ups from previous semi-annual installments will be applied to classes, private session discounts and additional equipment appointments.

While you are attending the equipment program, make-ups can be used for:

  • Additional equipment sessions

  • classes (including single classes within a series, space permitting)

  • Discounts on private sessions

Equipment Program rescheduling

Pausing your membership

If you are going to be away for less than two weeks, we will reserve your Standing Appointments free of charge and your VPC membership will remain active.

Due to a limited number of Standing Appointments in our schedule, we cannot guarantee holding your Standing Appointments if you'll be away for longer than two weeks.

If you are going to be away for two or more consecutive weeks, please contact us to discuss your options for pausing your membership. We recommend booking a private session before reentering your equipment appointments if you are away for longer than two months.

You are also welcome to book a private session before your absence so we can design a travel program for you.

Please alert us prior to the next billing date whenever possible if you are going to be away.

VPC loyalty program

With your annual VPC membership ($15 plus gst) you are automatically enrolled in our loyalty program. Please note, pauses in membership will extend the attendance requirements to advance to the next level.

Bronze

Members begin at the Bronze level and receive a 5% discount on most VPC products and services.

Silver

After 2 years of continuous attendance, you will upgrade to the Silver level and receive a 10% discount.

Gold

After 4 years of continuous attendance, you will advance to the Gold level and receive a 15% discount.

FAQs

Can I attend the equipment program only one time a week?

Appointments in our Personal Equipment Program are reserved for those who can attend a minimum of two sessions per week. If you are not able to attend a minimum of two times per week, ask us about our class and series options.

Can I attend other therapies while attending Pilates?

We recommend that you avoid scheduling your Pilates sessions on the same day as treatments such as massage therapy, physiotherapy, chiropractic care, etc. If that is not possible, try to schedule your treatment after your Pilates session.​

What if I am injured?

Please call ahead to discuss the best option for continuing your program. As long as your health professional has cleared you for physical activity, we encourage you to attend.

 

If you are injured, but feel you will be able to complete your current personal program with minor modifications, please call ahead to alert the teaching staff and we will be ready to assist you.

 

If you think you will be unable to complete your current program, please call to book a private session before rejoining the equipment sessions.

Intellectual property

The personal program developed for your use is the property of the VPC, and must remain in the studio at all times. Please do not remove your program from the studio or take a photo of it without permission.

 

If you would like a copy of your program for travel purposes or to take to a health practitioner, we are happy to prepare one for you to take with you.
